BKFi Bookkeeping Best Practices

Bank Account Access

Welcome!

In order to ensure your business books are accurate and we can prepare your taxes, every month our bookkeeping team must reconcile your transactions in Quickbooks with your bank and credit card statements. We need ready access to your bank statements so we don’t have to bug you for them every single month.

Since every business has a bookkeeper, most banks and credit card companies make this easy.

Do NOT grant us full access; add us as a bookkeeper or accountant (often labeled read-only or account manager), allowing us to download your monthly statements. We will not be able to transfer money!!!

What happens if I don’t do this?

  1. Bad things

  2. We are unable to make sure your income and expenses are recorded correctly. Quickbooks is great, but it’s not perfect, and sometimes the feed is inaccurate, so we absolutely must have access to your statements at least monthly.

  3. We will charge an annual $120 convenience fee and request that you manually upload monthly statements to a checklist we will provide.

How to grant READ ONLY access to your bank or credit card:

Every bank is slightly different - if your bank is not listed here, search the help docs for “read-only access.”

If you have multiple banks or credit cards, please ensure we have access to all of them.

Please do NOT add us as an authorized user and issue a credit card (some banks make this confusing).

How to add BKFi:

  • Use the email: support@brooklynfi.com

  • Use the name of our co-founder Ally Ayers if you need to name an individual.

  • You may have previously used a different email address for us; please remove all prior access and make sure that support@brooklynfi.com has access.

  • If it prompts you for our phone number, please use (718) 690-3600.

  • It prompts you to use a username, please use the format of “YOURCOMPANY”BKFi1 - for example VERIZONBKFi1. Please forward this username to us at support@brooklynfi.com when you complete the registration process. We only have 24 hours to match it with the auto-generated passwords that the banks provide us.
