Overview:

The Director of Operations is the operational backbone of our RIA firm — the person who owns the systems, people, processes, and accountability structures that keep the business running and scaling. You'll lead the firm's EOS implementation, manage daily operations, oversee compliance and investment operations, and own the technology stack. You'll directly manage existing team members, partner with senior leadership on hiring and org design, and serve as the primary liaison with custodians, vendors, and our external compliance consultant. As the firm grows through both organic and M&A activity, you'll also own operational due diligence and post-close integrations — building the playbooks and infrastructure that make each transition seamless. This is a senior, hands-on role for an experienced RIA operations leader who thrives on bringing order to complexity and is ready to become the operational engine behind a firm with serious growth ambitions.

Key Responsibilities:

EOS & Organizational Rhythm

  • Own the firm's EOS implementation: L10 meeting cadence, scorecard management, quarterly rocks, and IDS discipline.

  • Progressively lift Integrator responsibilities from the Managing Partner, becoming the primary driver of organizational accountability.

  • Maintain the organizational accountability chart, ensuring every seat is defined, filled, and performing.

Business Operations

  • Oversee daily operational workflows, ensuring systems and processes are efficient, scalable, and aligned with firm growth.

  • Maintain and continuously improve the firm's SOPs, procedure documentation, and operational playbooks.

Compliance

  • Serve as the primary operational liaison with the firm's external compliance consultant.

  • Own the compliance calendar: ADV updates, annual reviews, Code of Ethics reporting, email reviews, and IAR renewals.

  • Coordinate annual compliance testing, risk assessments, and regulatory audits.

  • Track and remediate compliance exceptions; support policy updates and staff training.

Investment Operations

  • Own the 401(k) custody process, ensuring accuracy, timeliness, and custodial compliance.

  • Handle the quarterly AUM billing process and oversee the monthly planning invoicing and tax fee billing. 

  • Serve as backup for Schwab account-opening paperwork, ACATs, and account maintenance.

  • Ensure client investment accounts are opened and funded quickly and without error.

Technology

  • Own the firm's technology stack: CRM, portfolio management, compliance platforms, communication tools, and custodial portals.

  • Manage system permissions, integrations, updates, troubleshooting, and vendor support.

  • Evaluate and implement new tools to improve firm and advisor efficiency.

People & HR

  • Directly manage the HR & Ops Manager and Marketing Lead, providing leadership, clarity, and accountability.

  • Partner with the Managing Partner on hiring decisions, org design, and performance management.

Vendor & Custodian Management

  • Manage relationships with custodians, technology vendors, and service providers.

  • Conduct annual vendor due diligence, including documentation, security reviews, and performance assessments.

  • Lead vendor selection, onboarding, and contract renewals.

Mergers & Acquisitions / Integrations

  • Own operational diligence and post-close integration for incoming advisor teams and acquired firms.

  • Build and manage integration plans, workstreams, timelines, and success metrics.

  • Coordinate all transition activities: data migration, account repapering, technology provisioning, and custodian transitions.

  • Develop repeatable integration playbooks and templates that scale as M&A activity grows.

Qualifications:

  • 7–12+ years in RIA operations, financial services, or multi-functional business operations leadership.

  • Strong understanding of SEC regulatory frameworks.

  • Hands-on experience with Schwab custodial platforms.

  • Experience managing or supporting M&A integrations.

  • Familiarity with RIA technology systems (CRM, portfolio management, billing, reporting tools).

  • Experience operating within EOS or a similar business operating system strongly preferred.

  • Proven ability to manage people and hold teams accountable to results.

  • Exceptional attention to detail, organizational discipline, and follow-through.

What Success Looks Like in Year One:

  • The Managing Partner is spending an increasing amount of time on clients, advisors, prospective clients, organic growth and the vision for the advisory side of the firm — not running operations.

  • The firm's operational systems are documented, consistent, and improving.

  • EOS rhythm is running cleanly: scorecards are accurate, rocks are getting done, and issues are being resolved — not recycled.

  • Direct reports are clear on their roles, performing well, and growing.

  • The compliance calendar has zero missed deadlines.

  • You have identified the gaps in the org and have a plan to close them.

Compensation:

  • Base salary: $160,000 - $200,000 based on experience + Bonus
