We’re Hiring: A Client Service Associate
Description
The primary function of this role is to deliver exceptional client service by owning BKFi's account administration and money movement operations on the Schwab platform and, in the near future, on Fidelity. The day-to-day duties are heavily focused on processing custodial paperwork, executing incoming and outgoing money movements, and managing recurring, deadline-driven tasks such as RMD tracking, backdoor Roth conversions, and quarterly 401(k) reconciliation. This person is the operational backbone of the client experience: accurate, organized, responsive, and comfortable working directly with both the custodian(s) and our clients. More time in the role will lead to additional responsibilities, including new-client onboarding and process ownership.
Key Responsibilities
Prepare, submit, and track custodial paperwork. (ACATs, rollovers, client service requests, and other account maintenance forms)
Execute standard incoming and outgoing money movements, including contributions, distributions, and conversions.
Process Solo 401(k) and SEP IRA money movements, including phone-based requests placed directly with Schwab.
Identify and resolve NIGO (not in good order) items with custodians to ensure timely, accurate processing.
Complete quarterly 401(k) reconciliation across applicable accounts.
Calculate, track, and process annual Required Minimum Distributions (RMDs), maintaining accurate records throughout the year.
Prepare, send, and track documents for electronic signature.
Enter and maintain accurate client data in HubSpot (CRM), Karbon (Workflows), and other firm tools.
Respond directly to client service inquiries received via email and phone.
Support and coordinate with the planning team in the day-to-day operations of the firm.
Additional Responsibilities
Assist with onboarding new clients to ensure a smooth account-opening experience.
Support periodic account audits and data-integrity projects across the custodial platform and CRM.
Document, maintain, and improve service workflows and standard operating procedures.
Train other team members on custodial paperwork and money movement processes as the role grows.
Experience, Skills, and Core Competencies
Must-haves:
Experience at an RIA, custodian, or similar financial services firm
Familiarity with custodial account paperwork and money movement processes at Schwab & Fidelity
Dedication to high-quality work and significant attention to detail when handling financial data
Strong organizational, follow-through, and problem-solving skills
Comfort working directly with custodians and clients over the phone and email
A true passion for innovation (you're excited about learning new software, and you learn fast)
Excellent verbal and written communication
Proactive team player able to work in a fast-paced environment
Ability to work independently
A sense of humor
Nice-to-haves:
Direct experience with the Schwab Advisor Center and/or Fidelity Wealthscape
Experience with HubSpot, Karbon, RightCapital, or Lacerte
Working knowledge of retirement account rules (RMDs, backdoor Roth, Solo 401(k)/SEP IRA)
Compensation
Base salary range of $55,000 - $65,000 plus bonus
