Overview:

The Senior Manager of Operations is a key role responsible for ensuring operational excellence, regulatory adherence, and scalable systems across our RIA. This position oversees day-to-day firm operations, leads compliance administration in partnership with our external compliance consultant, and drives process improvements that support a high-growth advisory practice. The ideal candidate has deep experience in RIA operations, strong organizational skills, and the ability to collaborate across functions, vendors, and custodial partners. This role will also lead operational integrations, including technology, workflows, and vendor/custodial transitions, supporting organic growth as well as M&A activity, ensuring smooth onboarding.

Key Responsibilities:

Operational Leadership:

  • Oversee daily operational workflow, ensuring systems and processes are efficient, scalable, and aligned with firm growth.

  • Manage the billing process, including invoicing, audits, reconciliations, and revenue tracking.

  • Own the 401(k) custody process, ensuring accuracy, timeliness, and compliance with custodial rules.

  • Act as a backup for Schwab account-opening paperwork, transfers (ACATs), and maintenance support.

  • Maintain and enhance the firm’s procedure documentation and standard operating processes (SOPs).

  • Develop and maintain onboarding programs for new hires, ensuring consistency in training across operational and compliance functions.

Compliance Management:

  • Serve as primary operational liaison with the firm’s compliance consultant.

  • Maintain and own the compliance calendar, ensuring timely completion of required filings, testing, and attestations (e.g., ADV updates, annual review, Code of Ethics reporting, email reviews, IAR renewals).

  • Coordinate and document annual compliance testing and risk assessments.

  • Manage regulatory audits and prepare supporting documentation.

  • Track and report on compliance exceptions, incidents, and required remediation.

  • Support policy updates, internal control implementation, and staff compliance training.

Mergers & Acquisitions and Integrations:

  • Own operational diligence and post-close integration for incoming advisor teams and acquired firms, ensuring continuity of client service and minimal disruption to advisors and internal stakeholders.

  • Partner with leadership, compliance, finance, and technology to evaluate operational readiness, surface integration risks, and define integration requirements (systems, staffing, workflows, data, and vendor dependencies).

  • Serve as the integration project lead by building and managing integration plans, workstreams, timelines, and success metrics, including clear milestones and accountability across internal teams and external partners.

  • Coordinate all onboarding and transition activities, including data gathering, data conversion/migration, account opening/repapering, technology provisioning, permissions/access setup, and custodian platform transitions.

  • Manage key third-party relationships (custodians, portfolio management systems, CRM vendors, compliance tools, etc.) to ensure smooth vendor implementations and integrations in support of new teams.

  • Ensure acquired teams adopt firm standards by driving policy and workflow alignment, training, documentation, and ongoing monitoring for adherence to firm procedures and service model expectations.

  • Identify opportunities to improve integration efficiency by developing repeatable playbooks, templates, and checklists, and continuously refining the firm’s integration approach as M&A activity scales.

Technology Oversight:

  • Serve as internal owner of the firm’s technology stack, including CRM, portfolio management systems, compliance platforms, communication tools, and custodial portals.

  • Evaluate new tools and enhancements to improve efficiency and client experience.

  • Manage system permissions, updates, integrations, troubleshooting, and vendor support tickets.

Vendor Management & Due Diligence:

  • Oversee relationships with key service providers and custodians.

  • Conduct annual vendor due diligence, including documentation, security reviews, and performance assessments.

  • Manage vendor selection, onboarding, and contract renewals.

Qualifications:

  • 5–10+ years of experience in RIA operations, compliance, or similar financial services role.

  • Strong understanding of SEC/state RIA regulatory frameworks.

  • Hands-on experience with Schwab custodial platforms

  • Experience in M+A and integrations of new firms

  • Familiarity with RIA technology systems (CRM, portfolio management, reporting, billing tools).

  • Proven ability to document and improve processes.

  • Exceptional attention to detail, organizational skills, and accountability.

  • Ability to manage cross-functional projects and collaborate effectively with leadership.

  • Strong communication skills and comfort leading training, documentation, and vendor discussions.

Compensation:

  • Base salary: $100,000 - $130,000 based on experience + Bonus
